The Controller is established in Poland. The Site is aimed at business customers (event agencies and similar professionals) in Poland, the European Union, and globally — not at consumers acting outside a business context.

2. Definitions

  • Site — the public website at managemyevents.app (landing, waitlist form, thank-you page, privacy page).
  • Waitlist — the early-access / launch notification list for Manage My Events.
  • Survey — the optional product-feedback questionnaire (feature ratings and open questions) some people submit with the waitlist form.
  • GDPR — Regulation (EU) 2016/679.

3. Scope

This Privacy Policy applies to:

  • visitors of the Site,
  • people who join the Waitlist,
  • people who submit the Survey / feedback form,
  • people who ask to be contacted about early access.

It does not yet cover a full logged-in SaaS application for Manage My Events. When that product launches, this policy will be updated (or a separate in-app policy published).

4. What data we collect

4.1 Waitlist and survey form

Depending on what you submit, you can join with email only, or also complete the survey:

  • work email address
  • full name
  • agency / company name
  • role
  • country
  • approximate events per year and team size
  • tools you use today
  • feature need ratings (1–5)
  • free-text answers (e.g. biggest pain, what would make you switch, other feedback)
  • consent choices (waitlist opt-in, privacy acknowledgement, optional “contact me”)

4.2 Technical data

  • IP address and approximate location derived from it
  • browser / device information
  • server and security logs
  • basic Site usage / delivery diagnostics

We do not ask for passwords or payment card data on this Site.

5. Purposes and legal bases

Purpose Legal basis (GDPR)
Run the Waitlist and send launch / waitlist updates (including confirmation email) Art. 6(1)(a) consent and/or Art. 6(1)(b) steps prior to a contract, as applicable
Process Survey answers to design the product Art. 6(1)(f) legitimate interest (product research for a B2B tool) and/or Art. 6(1)(a) where consent is collected
Contact you if you opt in to be contacted Art. 6(1)(a) consent
Secure the Site, prevent abuse, debug delivery Art. 6(1)(f) legitimate interest
Comply with legal obligations (e.g. responding to supervisory authorities) Art. 6(1)(c)

You can withdraw consent at any time (e.g. unsubscribe from emails or email us). Withdrawal does not affect processing already carried out.

Free months: If we offer one free month for joining the waitlist, or three free months for also completing the product-feedback form, that is a waitlist incentive; joining does not create a paid subscription by itself.

6. How we store and process data (current stack)

Submissions are handled as follows:

  1. Site / hosting — the Site is built with Nuxt and hosted on Vercel (or equivalent hosting). Form data is sent to our server API over HTTPS.
  2. Survey & ops records — form answers are stored in Notion (database “MME Waitlist Survey”), used as the working record for product research and follow-up.
  3. Email list & campaigns — your email (and basic profile fields such as name / company where provided) are synced to MailerLite, group MME Waitlist, for waitlist messages and the welcome/confirmation automation.

6.1 Processors / service providers

We use providers that process personal data on our instructions, under appropriate agreements where required, including in particular:

Provider Role
Vercel Hosting / edge & serverless runtime for the Site and API
Notion Storage of waitlist survey responses and related ops fields
MailerLite Email delivery, subscriber list, automations and campaigns

These providers may process data in the EU and/or other countries. Where data leaves the EEA, we rely on appropriate safeguards (e.g. Standard Contractual Clauses) as offered by the provider.

We may add analytics, error monitoring, or similar tools later; this policy will be updated if that changes the categories of data or recipients materially.

7. Retention

  • MailerLite: kept while you remain subscribed / on the Waitlist, or until you unsubscribe or we delete the list entry.
  • Notion survey rows: kept for as long as needed for product research and waitlist operations, then deleted or anonymized when no longer needed (or on a valid erasure request).
  • Server logs: kept for a short period for security and debugging, then rotated.
  • Contact-me leads: kept until the conversation is closed or you ask us to stop, then deleted or anonymized.

8. Sharing

We do not sell your personal data.

We share data only with:

  • processors listed above (and their sub-processors as needed to provide the service),
  • professional advisors or authorities when legally required,
  • no public directories or unrelated marketing lists.

Optional “contact me” means the Controller’s team (and assistants acting for us) may email you about early access or feedback — not that we sell leads.

9. Your rights

Under GDPR you may have the right to:

  • access your data
  • rectify your data
  • erase your data
  • restrict processing
  • data portability
  • object to processing based on legitimate interests
  • withdraw consent at any time

Requests: email hello@managemyevents.app.

You may also lodge a complaint with a supervisory authority (in Poland: President of the Personal Data Protection Office — UODO).

10. Cookies and tracking

The Site may use strictly necessary cookies/tech for security and basic operation. If we add non-essential analytics or marketing cookies, we will update this policy and obtain consent where required.

11. Age and audience

The Site is intended for people 18+ acting for a business (e.g. an event agency). We do not knowingly collect data from children.

12. Security

We apply appropriate technical and organizational measures, including HTTPS, access control to Notion/MailerLite accounts, and limiting staff access to waitlist data.

13. Governing law

This Privacy Policy is governed by Polish law and applicable EU law. Disputes shall be resolved by the competent courts in Poland, without prejudice to mandatory consumer protections where they apply (this Site targets business users).

14. Changes

We may update this Privacy Policy. The current version will be published on the Site (e.g. /privacy). Material changes to waitlist processing will be reflected here; where required we will ask for fresh consent.
